WHAT THIS GUIDE COVERS
  1. Trade promotion is a process, not a promised contract
  2. Separate research, access and execution
  3. Prepare buyer-facing evidence

Trade promotion is a process, not a promised contract

Trade promotion connects commercial research, communication and opportunities for qualified interaction. The scope might include identifying buyer segments, preparing company materials, arranging introductions or supporting an exhibition. These actions can improve readiness, but no ethical provider should guarantee purchase orders or signed MOUs without factual grounds.

Begin by defining the commercial objective: meet distributors, test a product category, identify procurement partners or strengthen market visibility. Each goal requires a different target list and follow-up design.

Separate research, access and execution

A desk-research buyer list, a confirmed meeting and an active commercial negotiation are different outcomes. Ask the service provider to label which stage it can deliver. If a trade fair is part of the project, clarify booth design, invitations, event coordination and lead capture responsibilities.

For importers considering Vietnam, a partner may also help explain local market structure, supplier categories and practical communication. Make verification boundaries clear: an introduction does not replace buyer or supplier due diligence.

Prepare buyer-facing evidence

Before outreach, organize a concise company profile, product catalog, specifications, certificates where applicable, production capacity statements and a contact owner. Buyers need enough accurate information to decide whether a meeting is worth scheduling.

Adapt materials to the target market and language. An attractive design that hides minimum order quantities or quality documentation can slow a technical buyer down.

Turn meetings into an accountable pipeline

After an event or business match, record the buyer requirement, requested sample, open commercial questions, owner and next follow-up date. Agree in advance who is responsible for replying and preparing quotations.

When comparing agencies, request process evidence, reporting format, scope exclusions and the definition of a qualified introduction. The quality of follow-through is more useful than a large unqualified contact count.

Define what a qualified introduction means

A qualified prospect should match documented market, product and role criteria, and show some relevant reason to engage. A business card collected at an exhibition is not equivalent to a buyer asking for a commercial quotation. Agree on reporting stages before an event or outreach program starts.

Request a brief activity log with research sources, approved outreach messages, meeting status and next actions. Respect confidentiality and do not circulate private buyer information indiscriminately. Keep negotiation terms and claims about product capacity under the client's approval.

At the end of the engagement, assess what was learned about buyer objections, product fit and market readiness. Even without an immediate order, high-quality feedback can guide better documentation, packaging or channel strategy. Avoid measuring success exclusively by invented agreement counts.
