A distributor list is not a channel strategy
The right distributor depends on category, price tier, geography, buyer type and service requirements. A partner with strong retail coverage may be unsuitable for technical industrial products, while an online-first distributor may not handle regulated documentation.
Before outsourcing a search, define the product, target customers, proposed margins, logistics needs and any territory restrictions. Avoid requesting every distributor in Vietnam when only a small segment can realistically serve the brand.
Qualify each candidate consistently
Assess category experience, channel reach, product portfolio, potential conflicts, organizational capability and the willingness to consider the product. Research can identify apparent fit, but claims about sales volume, creditworthiness or exclusivity require independent evidence.
Build a transparent pipeline: researched, verified contact, approached, responsive, qualified, meeting held and negotiation. Do not report a scraped email as a verified qualified buyer.
Prepare materials for the first discussion
Provide a product catalog with specifications, positioning, recommended channel, minimum order expectations and samples where appropriate. List decisions the prospective distributor must make to progress.
Communicate in the language and format appropriate to the counterpart. Keep follow-up notes and questions in a consistent place so that multiple staff members can coordinate.
Set accountable outcomes
Ask the research provider whether the contract covers only research, outreach assistance, meeting coordination or commercial negotiation support. Define how many candidates will be reviewed, what verification evidence is expected and how unsuccessful contacts are reported.
An ethical service proposal is clear about uncertainties. It supports a better commercial decision rather than promising market access without validation.
A practical distributor scorecard
Rate shortlisted distributors against the agreed product category, channel reach, geographic coverage, commercial capabilities, competing portfolio and responsiveness. Explain the evidence behind each rating. A candidate with the biggest headline network may not be the best option if the category or customer segment is wrong.
Prepare a discussion guide covering product training, inventory responsibilities, marketing contribution, territory, reporting expectations and performance review. These are questions to resolve in negotiation rather than assumptions to bake into a research shortlist.
Ask for a clear handover from the research partner: who was approached, who responded, why the prospect may fit and what the next meeting should establish. This makes the service measurable without pretending a lead list guarantees distributor appointment.
